Real-Time Defect Management on Construction Sites
Green Building Group builds high-quality, long-lasting and energy-efficient homes. With more than 1,000 people — many of them external — across four main locations in three countries, managing construction-site defects had outgrown paper and spreadsheets.
The Challenge: Many People, Many Handovers
No construction site is free of defects — what matters is how quickly they are handled. When prefab parts arrived on site, the assembly crews were often the first to spot transport or factory damage, yet they had the least access to the systems used to record it.
Information travelled from crew lead to site manager to the service department on handwritten forms, Excel lists and in person. Every handover added another interface, defects were often recorded several times, and the system only worked thanks to the personal commitment of the team.
The Solution: Capture and Document Defects in Real Time
Together with Green Building Group, Kollaborateure built a tailored defect-management module in Podio. Crews now record defects immediately on a smartphone or tablet, together with all relevant details and photos.
Everyone responsible is notified in real time and can see the processing status at any moment. Comments, chat and video calls keep communication short and direct, and every step is documented in one place. Instead of thick paper files, the site team only needs a tablet.
Beyond the Construction Site
The defect module is linked to a second Podio app that records all additional costs caused by defects. Costs are referenced to the individual defect and analysed by category and by cause (internal or external). A link to time tracking for payroll was planned as a next step.

Real-time visibility
All responsible teams learn about a defect the moment it is recorded.
Fewer handovers
Interfaces between crew, site management and service are reduced to a minimum.
Automatic statistics
Defects are analysed per site, crew and type — previously compiled by hand every six months.
Cost transparency
Follow-up costs are tracked per defect and per cause.
